2. Data We Collect

We collect the data you provide voluntarily through our contact forms:

• Full name
• Email address
• Phone number (optional)
• Message content
• Membership preference

3. Purpose of the Processing

Your data will be processed in order to:

• Reply to your enquiries and information requests
• Manage applications to join the association
• Send you information about Astroval activities and events (only on request)
• Comply with applicable legal obligations

4. Legal Basis

The processing of your data is based on:

• Consent: By submitting the contact form you consent to your data being processed for the stated purposes.
• Legitimate interest: To manage communications and relationships with people interested in the association.

5. Data Retention

We will keep your personal data for as long as it is necessary for the purposes of the processing and, afterwards, for the periods legally established.

6. Recipients of the Data

Your data is not disclosed to third parties unless required by law. To provide our services we use providers that act as data processors on behalf of Astroval and do not use your data for their own purposes: Google (Firebase / Google Cloud), for website and database hosting; Resend, for sending emails; and Brevo, for managing contacts and communications for those who request them. When any of them processes data outside the European Economic Area, it does so with the safeguards provided for in the GDPR, such as the European Commission's standard contractual clauses.

7. Your Rights

Under the General Data Protection Regulation (GDPR) and the Spanish Organic Law on Data Protection (LOPDGDD), you have the right to:

• Access: Know what data we hold about you.
• Rectification: Correct inaccurate data.
• Erasure: Request the deletion of your data.
• Objection: Object to the processing in certain circumstances.
• Portability: Receive your data in a structured format.
• Restriction of processing: Request that processing be restricted in certain cases.

11. Registration for activities: Noches de Astroturismo

This section applies to registrations for Astroval's in-person activities, such as the series “Noches de Astroturismo · Heritage and stars” (heritage visits and stargazing, autumn 2026), organised in collaboration with the Provincial Tourism Board of the Diputación de Valladolid. Taking part is voluntary and free. The data controller is Astroval; the Diputación does not receive your registration data, only aggregated, anonymous participation figures and, if you agree to the use of your image, the photos of the activity that we publish jointly.

Data we process

• Full name of each registered person.
• Email address of the adult making the registration (and, if provided, that of the minors in their care, which is optional).
• Town of residence and how you heard about the activity.
• Age of registered minors.
• Whether any registered person has reduced mobility, only if you say so and give your express consent.
• Your choices regarding the use of your image and receiving communications, with their date.
• The status of the registration (confirmed, waiting list, cancelled) and attendance on the day.

What we use it for

• Managing your place and the waiting list, and sending you the confirmation, reminders and last-minute notices (for example, a switch to the indoor plan because of bad weather).
• Preparing the activity: adapting content to the age of minors and arranging adapted access for anyone with reduced mobility.
• Producing aggregated, anonymous participation statistics (number of attendees, origin, minors, publicity channels) for the activity report to the Diputación de Valladolid.
• If you agree, publishing photos of the activity in which you may appear.
• If you agree, sending you information about other Astroval activities.

Legal basis

• Your consent when registering, to manage the registration and the activity.
• Your explicit, separate consent to process information about reduced mobility, which may be considered health-related data (Art. 9(2)(a) GDPR). It is optional and you can withdraw it at any time.
• Separate, optional consents for the use of your image and for receiving communications. Registration does not depend on either of them.
• The association's legitimate interest in producing the anonymous statistics with which it accounts for the subsidised activity.

Minors

Minors can only be registered together with an adult who attends the activity with them and who declares that they are their parent or legal guardian, or have their authorisation. For minors we only ask for their name, age and, where applicable, whether they have reduced mobility; their email is optional. For children under 14, consent is given by their parent or guardian (Art. 7 Spanish Organic Law 3/2018, LOPDGDD).

How long we keep it

Information about reduced mobility is deleted when the series ends. The rest of the registration data is kept for up to three months after the last session of the series and then deleted; we only keep aggregated, anonymous statistics. If you have agreed to receive communications, that information is kept until you unsubscribe. Photos published with your consent remain online until you withdraw it.

Who handles the data

Only the Astroval members and astronomers organising each session, and only what is needed for it (for example, how many people are attending or whether someone needs adapted access). The technology providers are those listed in section 6.

Cancelling and exercising your rights

You can cancel your registration at any time with the link we send you by email. To withdraw any consent or exercise the rights in section 7, write to astroturismovalladolid@gmail.com.
